August 9, 2005 Meeting Minutes
Present were David Ashby, Dee Duncan, Ken Fong (taking notes), Lynda Fickling,
Laura Kuhl, Carolyn Warden, and Jim Wolff (presiding).
We welcomed Carolyn Warden, who is new to the group.
Project updates:
The group began the meeting by stuffing the new Friendship Pads with
attendance sheets and pens. We need to train the ushers about how to use them
and keep them stuffed. The attendance sheets should not be torn out after the
8am and 9:30am services unless they are full. We want the congregation to pass
them across the aisles, and to pass them back when everyone has signed them. We
would like to begin using these pads as early as 8/21, if the ushers can be
trained by then.
We will ask Janet Forbes about delegating the responsibility to print the
sermons out in booklet format.
We have more greeters now, but we still need more.
We brainstormed ideas about how to store the name tags so that more people
would be encouraged to use them and the storage is not obtrusive. Dee Duncan
came up with an idea for revolving carousels that would be placed in the narthex
in front of the middle sanctuary doors.
The Disciple Team meeting, where the idea of having Disciple class members do
home visits to visitors who have come several times is to be discussed, was
postponed.
We reviewed the SWOT handout, which has been updated from the last meeting.
Ken volunteered to work with Jim Ramsey to solidify some of the near-term
dates on the Small Group Awareness Schedule.
New Business
The group talked about how to do more external evangelizing. Jim introduced
the idea of having open houses twice a year. It was suggested that the 9/11
Kickoff + Ministry Fair be modified to serve as an open house. We would also
need external publicity; example themes might be “Open Hearts, Open Minds, Open
Doors: Open House,” or “Open House on 9/11 – tours & free food.” Ken shared an
idea from the communications team: we need a PR person who would be responsible
for proactively building up the name recognition of St. Luke’s in the community
(and not just placing ads / articles in newspapers when asked). This could
either be a volunteer or paid position. Carolyn volunteered to talk to a friend
of hers who does this professionally about her interest, rates, etc.
We also talked about marketing ourselves at community events hosted at St.
Luke’s, such as by the Highlands Ranch Community Chorus. Providing greeters, for
example, would be an easy way to reach non-members, since they’d be visiting us
anyway.
We also discussed getting the addresses of people who close on homes in our
area, so that we could send them invitations to visit.
The next meeting will be on Monday, August 22th, at 7 PM.
Action Items
Dee Duncan: Will draw up and circulate a drawing of his name tag storage
carousels.
Ken Fong: Will evaluate potential placement of the name tag storage carousels
and see if a builder can be identified.
Ken Fong: Work with Jim Ramsey to try to solidify some of the near-term dates
on the Small Group Awareness Schedule
Carolyn Warden: Will pursue finding an external PR person
Lynda Fickling & Ken Fong: Will work with the staff to add an Open House to
Kickoff Sunday
Lynda Fickling & Carolyn Warden: Will pursue free advertising in the local
papers for our 9/11 event

purchasers in our area.
