August 10, 2004 Meeting Minutes
Attending were David Ashby, Dee Duncan, Ken Fong (taking minutes), Lynda
Fickling, Laura Kuhl (presiding), and Jerry McLeland.
There was a short ET meeting on August 1, at which the team reviewed the
Invitation Card and discussed updates on the team’s various projects.
Tonight’s meeting began with Jerry McLeland reporting on progress with
Visitor Parking signs. He has re-installed four of them, so now they are higher
and more stable. He will be getting two more, since we used to have six. We
discussed various ideas on how to add some more visitor parking spaces,
including for special events. We will look to the parking team to take this on.
Ken Fong presented the updated instructions for the Invitation Card. He will
get a revised version to Laura incorporating the comments received. We also
provided comments on the Card itself. Laura will forward the comments to Sharon
Oliver. We will test market the Card and instructions; Laura will send an email
to the staff, Ministry Council, Executive Board, Communications Team, and other
church leaders. The email will include our proposal for printing and
distributing 5,000 Cards with instructions to the congregation at the Kickoff
Service on September 12, along with requests for comments to be provided within
one week. Ken will go to Kinko’s to get 50 of the Cards printed up for review at
the ET table starting this Sunday, 8/22; this will either be the current
version, or the updated version if Sharon is able to incorporate comments
quickly.
Lynda Fickling reported that the bread labels have been updated with the new
Invitation Statement, and she distributed a draft “I’d like information on”
card. Visitor bags will be put together to include a loaf of bread, this card,
and a copy of the Chronicle.
Lynda reported that the calling team is up and running (YEAH!) with about
eight callers. The Guest Welcome (“visit”) team is also ready to go, also with
about eight members.
Lynda is still working on the tote bag that the Guest Welcome team will
deliver to those who have made about three to five visits. The bag will include
a Donut Dollar, the Invitation Card, a Ministry Catalog, the brochure, a
Chronicle, a magnet, a Little School brochure, a mission flyer, and a CD. (Not
everything will be available initially.)
Laura Kuhl reported the initial positive feedback from the respective small
group leaders to integrate into a Hospitality Team. This team should include
Greeters, Bread Bakers, Coffee, Ushers, Guest Services, Nametag, and Parking.
Implementation will likely occur in January or later. Laura will present the
integration proposal to the Ministry Council.
The team discussed the Guest Services Center. Using some of the Missions
Closet would be attractive, but this closet is already more than full. David
Ashby volunteered to draw a possible movable structure that one or two people
could stand behind in the entry and help with questions and directions.
Laura reported that signups for the various ET sub-teams and ET membership
are going well. There are three more weeks during which we’ll continue to push
for more signups.
Laura suggested everyone bring treats for the ET table at the Ministry Fair
on 9/12.
There was a discussion about where Janet Forbes should stand after Sunday
services. We did not conclude anything.
We also discussed ideas about improving nametag usage.
We agreed that parking is a lower priority for now, since we are not having
current parking problems. As attendance increases, we will need to revisit this.
The next meeting will be Tuesday, 8/24, at 7 PM.
