August 24, 2004 Meeting Minutes
Attending were David Ashby, Dee Duncan, Ken Fong (taking minutes), Lynda
Fickling, and Laura Kuhl (presiding).
We decided that we would stop staffing the ET table between Sunday services,
since traffic has dropped off. We will staff the table again during the Ministry
Fair on September 12th.
Lynda Fickling reported on the status of the tote bags to be given out at the
homes of repeat visitors. We will need to find someone to stuff them, perhaps
the new Hospitality Team. The bags have been ordered, at a cost of about $1K.
Ken Fong reported on the status of the updated CD. He has made better than
expected progress on it and now plans to have it available well before
Christmas.
Laura Kuhl reported that the Chronicle article about ET has been written.
David Ashby shared his initial plans for the Guest Services Center. The group
liked the overall design. Questions raised included: should we have a curved
top? Should we prepare a cardboard mockup? We agreed that Guest Services
Attendants could start before the completion of the Guest Services Center.
Lynda led the discussion about name tags. We decided to ask the following
people if they would form a subcommittee to look at the entire issue (in
addition to getting more people to wear them, this would include the possibility
of going to engraved plastic name tags, storage of tags, etc.): Arthur Adams,
Janice Ashby, Dean Conklin, Nancy Obertier, and Jim Wolff.
Ken presented the status on the Invitation Card. We will order 5,000 from
Columbine at a cost of about 10 cents each. We should have enough money to
create additional, Advent-specific cards for the end of the year. We will hand
out the cards inserted into a folded instruction sheet as people leave the
September 12th service. We will have 3 half-hour shifts of people handing these
packages out at all the church exits.
Ken also recapped the ET presentation at the recent Ministry Council meeting,
where $2K of the Evangelism Budget was approved to pay for the Invitation Cards
and tote bags.
We discussed staffing for the ET booth at the Ministry Fair; Laura, Lynda and
David will each solicit volunteers. (Although this may not have been discussed
at the meeting, this should also include helping hand out the Invitation Card
packets.)
Our next meeting will be on 9/7 at 7 PM, at which time we will make sure all
our plans are in place for September 12th.
The meeting after that will be on October 12, also at 7 PM.
Action items:
Ken: Ask Janet about whether she wants any sermons included in the CD, and
include Ministry Fair photos in the CD.
Will look for someone to build the Guest Service Center.
Will order 5,000 of the 3-color Invitation Cards.
Will reformat the Card Instructions into a bifold booklet and bring paper
color samples to the next meeting.
Will review with the staff our plans for handing out the Invitation card on
September 12th, and review with Janet Forbes what to say during the service to
introduce the Card.
Will try to find the 56-page Igniting Ministries booklet which explains how
to use the resources.
Laura: Will contact people about forming a name tag subcommittee.
Will ask Janet about traffic flow in the Narthex between services, to discuss
perhaps changing where Janet stands.
Will email the ET team and volunteers to solicit help in staffing the ET
booth at the Ministry Fair and to help hand out the Invitation Card packets.
Lynda: Will review with Janet the plans for handing out the Invitation Card
on September 12th.
Will email the caller and visitor teams to solicit help in staffing the ET

David: Will contact the Youth to solicit help in staffing the ET booth at the
Ministry Fair and to help hand out the Invitation Card packets.
Will talk to Chris Wilterdink about getting Youth to help with parking on
September 12.
Dee: Will contact Pam Rowley to see if she still wants to be listed as an ET
member.
At the 9/5 orientation meeting, will recruit for volunteers to help in
staffing the ET booth at the Ministry Fair and to help hand out the Invitation
Card packets.
Lynda and Dee: Will stuff the initial tote bags during the orientation
meeting with the calling and visiting teams.
