CAMBODIA MEETING MINUTES

OCTOBER 13, 2002

Laurie began the meeting with a prayer.  She stated that on 10/10/02, a worldwide caution was issued for American travelers.  It says to be aware of who's around and what's going on.  At this point we should still plan on going, but be prepared if we have to change our plans in the last minute.  We will be checking the travel warnings often.  Most of the hot spots are around Muslim populations, not the Buddhist areas like Cambodia.  We will pay for the armed guards in Siem Reap that were there the last time, just in case.  If the public announcements declare that Americans should not travel, then we may heed those warnings.  The travel insurance may reimburse us for some of the travel costs for canceling the trip, but we should be aware that we may still lose some of the money.

We have release forms from St. Luke's that each team member needs to sign.

Brian Sorsby updated us on the emails from Joseph regarding details of the building.  He has confirmed the type of the building and type of construction.  They will have the foundation and the roof completed before we arrive.  We will be focusing on building the brick walls which will be taller than last time, probably 8 feet.  We may also build some of the interior walls.  They will have all the supplies ready for us when we get there; the bricks, cement, and everything else.  Brian has requested an experience mason be on the job to show us the Cambodian methods.  He reports that the Cambodian is anxiously waiting for us to come.

Brian will bring some work gloves with him, and Joyce will be bringing some earplugs for everyone.

We will need to send the money soon.  We have close to $18,000 in our treasury and will get it wired directly to Joseph's account instead of through GBGM, because they take so long.  We may send $5,000 first to ensure he gets it, then send the other $10,000 for now.  We may divide up the rest of the cash amongst ourselves like the last time and bring it with us.

Remember to email your medical information to Marie which will be kept confidential, but may be important in an emergency.  Send emergency contact information to Mark Moore.  Be sure to bring your medical supplies for the community kit soon.

For the Joseph play and dinner, we cannot charge tickets for the play, but we can for the dinner.  The show will be a free will offering.  We discussed selling dinner tickets for a minimum of $5 donation, maybe up to $8.  We will still accept those coming without advance tickets.  We will be planning for about 250 to 300 people each night based on the previous dinner shows.  The Dinner Committee will get back together for further planning.  In the meantime, Laurie will be contacting her person at King Soopers to see what donations we can get, and Betsy will check with Costco.  Betsy will also be figuring out the quantities for the soup recipe.  We are putting out a call for breadmakers and home-baked bread donations.  Kathy will check on salad options and ingredients.  Don't forget, the dinner and Joseph are scheduled for Friday, November 15th and Saturday, November 16th.

Joyce talked to Mrs.. Kim about hotels and tours and she'll end an email for the amount of money we will need to send.  Dale has Mike arranging for another customs agent to come since Mike is now in Florida.  The customs agent will certify our electronic equipment when we show that we have purchased it here in the States before the trip.  Ken passed out itineraries but schedules may change by the time we leave.  Flights are rescheduled all the time.  He brought travel insurance brochures which should be turned in with the final trip payment.

We have close to $18,000 and made about $350 on the bulbs sales.  They will come in soon, 2nd week in October, any day now. Three bricks were sold on Sunday.  Marie updated us on the November 2nd craft bazaar.  Andrea is helping her with the food for that day.  She sent around a sign up list for people to help with set up the night before, that morning, staff the missions craft table and the food sales, and clean up.  Six tables are rented so far so ask all your friends and family who do crafts if they are interested in having a table there.  We have room for about 20 to 25 tables.  Donations of craft items are greatly appreciated too.  Someone has donated a lap quilt which will be auctioned off, silent auction bidding style.

Betsy and Dalai are planning a mini bible day camp the week both teams are there.  They will be planning next week if anyone is interested in helping out.

We appreciate all of our wonderful volunteers so much.  We could not do it without you!  We only have a few more things coming up that will be our final fundraisers.  Thanks so much in advance for helping to make them successful!!!
